Bookkeeping

Closes the month from receipts, matches vendor invoices to purchase orders and the bank, stages PDF invoice rows for the books, and drafts reminder notes for who still owes. You set whether it only builds that pack or also posts the known lines and sends the known chases.

Used for

  • Month end at the restaurant chain

A restaurant-chain office at month end: kitchen receipts, supplier invoices, and a few bank lines without a slip sit in one pile. The worker matches what it can and builds the month pack. You choose whether it only prepares that pack or also posts the known lines in the books — the odd ones stay on the list.

  • The same cold-store invoice

A food importer gets the same cold-store invoices every week, same layout, same VAT treatment you already wrote down. The worker reads the new file against that track and finishes the known lines. You can keep it on drafts, or let it post those repeats in the books so the bookkeeper only sees what broke the pattern.

  • Monday at the plumbing counter

A plumbing wholesaler on Monday: forty vendor PDFs sit against purchase orders, most quiet, three already off. The worker matches what it can and queues the rest. You choose whether known matches only stay as a list, or also post in the books. The odd quantity stays visible for a person.

  • Twelve versus ten at the workshop

An auto-workshop chain sees an invoice for twelve when the order said ten, or a bill that arrived before the goods. The worker does not invent a match. It queues the exception and leaves the commercial call with a person — unless you explicitly say that kind of line may post too.

  • Monday at the farm office

A farm office on Monday: supplier PDFs for feed and parts sit in one pile, most readable, a few handwritten. The worker stages the mapped fields and leaves the rest on the unsure list. You choose whether known lines only stay staged, or also write back to the books. Guessed numbers stay off the sheet.

  • A new layout at the architects

An architecture office sees the same vendor with fields moved this month, or a credit that looks like a bill. The worker does not invent a number. Unsure lines stay on the list and the write-back stays with a person — unless you explicitly say that kind of line may go in too.

  • Monday at the haulage desk

A haulage firm on Monday: invoices that passed the reminder window sit in one pile, some quiet, one already a fight. The worker drafts the first chase in the tone you use and lists who still owes. You choose whether those stay as drafts or go out. The odd dispute stays visible for a person.

  • A fight at the property office

A property-management office gets a tenant or a contractor who disputes the hours, or a thread that reads like a commercial fight. The worker does not decide who is right. It flags the account and leaves the reminder with a person — unless you explicitly say that kind of chase may go out too.

Who does this today

The bookkeeper, AP clerk, office lead, or founder who currently builds the month pack, ticks invoice lines, retypes PDF rows, or chases late payers. The person who hunts receipts in a shared inbox at month end.

What it does not do

It does not replace your accountant, and it does not invent a VAT code, a match, a quantity, or a balance. You set whether it only prepares the month or also posts the known lines and sends the known reminders. Disputes, new IBANs, and odd quantities stay with a person. Your accountant still signs VAT.
